When to use a progress invoice
- A construction or renovation job runs for weeks or months and the contract sets payment stages.
- The contract ties payments to milestones such as foundation, framing, rough-in and finishes.
- A software or design project is paid per delivered phase.
- You need cash flow to pay crews and suppliers before the whole job is finished.
What a progress invoice must include
- Invoice number and date
- Project name and contract reference
- The stage or milestone being billed
- Total contract value
- Percentage complete and amount earned to date
- Amounts billed on earlier progress invoices
- Retainage withheld, if the contract allows it
- Amount due for this period
- Due date or approval period
Progress Invoice vs similar documents
-
vs interim invoice
The terms overlap: a progress invoice usually bills a percentage complete against a schedule of values, while an interim invoice is a broader name for any part bill before a job ends, including bills for time and costs.
-
vs final invoice
Progress invoices bill stages as they happen; the final invoice reconciles every stage and releases any retainage.
-
vs deposit invoice
A deposit is paid before work begins; progress payments pay for work already completed.

Frequently asked questions
How do I work out the amount of a progress invoice?
Multiply each stage's value by the share completed, subtract what was already billed for that stage, and add the stages together. Billing against a schedule of values agreed at the start makes the figures easy for the client to check.
What is retainage on a progress invoice?
Retainage (or retention) is a percentage of each progress payment that the client holds back until the job is finished, as security against defects. It applies only if the contract says so, and it is released with the final invoice.
Are there standard forms for progress billing?
In US commercial construction many owners ask for the AIA G702 payment application with the G703 continuation sheet. Smaller jobs usually accept a clear progress invoice listing each stage, the percentage complete and the earlier payments.
