How to make an invoice in five steps

  1. 1

    Choose the document type

    Pick one of 7 types: invoice, estimate, quote, receipt, proforma invoice, credit note, purchase order. The labels follow the type, so an estimate asks for a "valid until" date and a receipt shows a payment method and a PAID stamp.

    Add your business and your client

    Type your business name, address, e-mail and tax number in From, then the client in Bill to. Upload a PNG or JPEG logo of up to 1 MB if you have one; it never leaves your device.

  3. 3

    List the work

    One line per product or service with a quantity, a unit such as hr or sq ft and a rate. Untick Taxable for pass-through costs. Lines can be moved up or down and removed.

  4. 4

    Set discount, tax and payments

    Enter a percentage or fixed discount, up to two tax rates (for example GST and PST), untaxed shipping and any deposit already paid. The balance due updates as you type.

  5. 5

    Download, print or share

    Download the PDF in A4 or US Letter, print it, or copy a link that reopens the same document. Payment terms such as Net 30 fill in the due date for you.

What goes on a professional invoice

Most clients and tax authorities expect the same core details: the word Invoice and a unique invoice number, the date it was issued, your business name and address, the client's name and address, a description of each product or service with its quantity and price, the tax charged and the total amount due. Add the due date or payment terms and the way you want to be paid, and the client has everything needed to pay without a follow-up e-mail.

Some countries ask for more, such as your VAT or GST registration number on every invoice, or the tax shown separately for each rate. The generator has a Tax ID field for both parties, a label you can rename to VAT number, ABN or GSTIN, and three extra header fields for things like a purchase order number, a job site or a licence number. The country guides list what each tax authority requires.

Number your invoices in one unbroken sequence, for example INV-0041, INV-0042, and never reuse a number: if a document is wrong, issue a credit note rather than editing the old invoice. The Type menu makes credit notes as well.

Is this invoice generator really free?

Yes. Every document type, all three designs, your logo, PDF downloads and printing are free, with no account and no limit on the number of documents. Free PDFs carry one small “Made with Billwise” line at the bottom. Pro, a one-time upgrade, removes that line and adds saved clients, an item library, automatic numbering, a CSV history and bulk PDFs.

Do you see the invoices I make?

No. The form, the preview and the PDF are all produced by code running in your browser, so client names, amounts and bank details are never sent to us. On this page the current document is kept as a draft in your browser’s local storage so it survives a reload; clear it with the New button or your browser settings.

How are the discount, tax and balance due calculated?

The discount comes off the subtotal first (a percentage, or a fixed amount capped at the subtotal) and is spread across taxable and untaxed lines in proportion. Each tax rate is then applied to the taxable amount after the discount, side by side rather than compounded. Shipping is added untaxed, any amount already paid is subtracted, and every figure is rounded to the currency’s smallest unit: cents for USD, whole yen for JPY, three decimals for KWD.

Can I make an estimate, a quote or a receipt instead of an invoice?

Yes. The Type menu switches between invoice, estimate, quote, receipt, proforma invoice, credit note, purchase order. Headings, date labels and the total line change with it, and receipts are stamped PAID once the amount paid covers the total.

Which currencies and number formats are supported?

The currency menu lists 52 common currencies and accepts any other three-letter ISO 4217 code. Dates and amounts can be formatted in 30 regional styles, for example 1,234.50 for the US or 1.234,50 for Germany.

How do I send the invoice to my client?

Download the PDF and attach it to an e-mail, or print it and post it. Billwise does not send e-mails or collect payments for you, so put your bank or payment details in the Payment details box and they appear on the document.
