What is a quote?
A quote, or quotation, is a fixed-price offer for specific goods or work that the customer can accept within a stated validity period, after which the seller is expected to deliver at that price.
The tool prints it with the heading "Quotation" and behaves as a quote, with a valid-until date instead of a due date.

When to use a quote
- The scope is well defined, so you can commit to a price.
- A buyer must compare fixed prices from several suppliers, as in a tender or a purchase approval.
- You sell goods with known prices and the buyer wants a written offer before raising a purchase order.
- You want to offer options, such as basic, standard and premium, for the customer to choose from.
What a quote must include
- The heading 'Quote' or 'Quotation'
- Quote number and date
- Customer name and contact person
- The exact scope: items, quantities and specifications
- A fixed price per line and the total
- Tax and delivery costs, or a statement that they are excluded
- Validity date
- Payment terms, with any deposit on acceptance
- Acceptance block: signature, name and date
Quote vs similar documents
-
vs estimate
An estimate can change as the work progresses; a quote commits to the price for the described scope.
-
vs proforma invoice
A quote is an offer before agreement; a proforma invoice usually follows acceptance, to request payment.
-
vs purchase order
The quote comes from the seller; the purchase order is the buyer's acceptance and order, often quoting the quote number.

Frequently asked questions
Is a quote binding once the customer accepts it?
An accepted quote is usually treated as an agreement to supply that scope at that price, which is why it should state exactly what is included and how long it is valid. Quote changes in scope separately.
Quote or quotation: is there a difference?
No, they are the same document. 'Quotation' is the more formal word and 'quote' is the everyday one.
Should a quote include tax?
Say clearly whether prices include or exclude tax, and show the tax separately if you charge it. Business buyers usually compare prices before tax; consumers expect to see the full amount.
Can I change a quote after sending it?
Before acceptance, withdraw it and send a revised quote with a new number or version. After acceptance, agree changes in writing and reflect them on the invoice.
