What is an hourly invoice?

An hourly invoice charges for time spent, listing each task with the hours worked and the hourly rate, the usual way freelancers, consultants and repair trades bill work whose scope is not fixed in advance.

The tool prints it with the heading "Invoice" and behaves as an invoice.

When to use an hourly invoice

  • The scope is unclear at the start, so a fixed price would be a guess.
  • You are a freelancer or consultant billing several small tasks for one client.
  • A repair or troubleshooting job takes as long as it takes.
  • Your agreement sets an hourly rate with a not-to-exceed budget.

What an hourly invoice must include

  • Invoice number and date
  • The period in which the hours were worked
  • One line per task or activity
  • Hours per task, in quarter-hour or tenth-of-an-hour steps
  • Hourly rate, with separate rates for different roles
  • Expenses or materials on their own lines
  • Total hours and total amount
  • Payment terms and due date

Hourly Invoice vs similar documents

  • vs timesheet invoice

A timesheet invoice adds the daily log and the client's sign-off; an hourly invoice usually shows hours per task without a day-by-day record.

  • vs estimate

An estimate predicts hours before the work; an hourly invoice bills the hours actually spent.

  • vs recurring invoice

A retainer billed as a recurring invoice is a fixed amount; an hourly invoice changes with the time worked.

Frequently asked questions

How do I round hours on an hourly invoice?

Pick one increment, such as 15 minutes (0.25 h) or six minutes (0.1 h), state it in your terms and apply it the same way on every line.

Should I show the hours or only the total?

Show the hours and the rate per task. A client can check what each hour bought, while a single lump sum invites questions and slows approval.

Can I bill travel time on an hourly invoice?

Only if your agreement says so. If you do, put it on its own line, often at a lower rate, rather than mixing it into the task hours.
