When to use a delivery note
- You deliver goods in your own van or by carrier and need a signed proof of delivery.
- An order arrives in several parts and each delivery needs its own record.
- The customer's goods-in team checks every delivery against its purchase order.
- Building materials or equipment go to a site where someone other than the buyer receives them.
What a delivery note must include
- The heading 'Delivery Note' and a delivery note number
- Delivery date
- Supplier name and contact
- Customer name and delivery address
- The customer's purchase order number
- Description and quantity of each item delivered
- Items back-ordered or still to follow
- Number of packages or pallets
- Receiver's printed name, signature and date
Delivery Note vs similar documents
-
vs packing slip
A packing slip lists the contents of one package; a delivery note covers the whole delivery and is signed by the receiver as proof of delivery.
-
vs commercial invoice
A commercial invoice states values for customs and payment; a delivery note confirms the quantities received and often carries no prices.
-
vs purchase order
The purchase order is what the buyer asked for and the delivery note is what the supplier actually sent, so any difference shows straight away.

Frequently asked questions
Does a delivery note show prices?
It can, but many suppliers leave prices off, because the person signing only needs to check quantities. The prices belong on the invoice that follows.
What should the receiver do if goods are missing or damaged?
Write the shortage or damage on the delivery note before signing and keep a copy. A clean signature can later be read as confirmation that everything arrived in good order.
Is a delivery note the same as a proof of delivery?
A delivery note becomes proof of delivery once the receiver signs it. Carriers may also keep their own electronic proof with a signature and a timestamp.
