What is a packing slip?

A packing slip is a list placed inside or on a package that shows what the box should contain, item by item and in what quantity, so the recipient and the warehouse can check the contents.

The tool prints it with the heading "Packing Slip" and behaves as a purchase order.

When to use a packing slip

  • You ship online orders and want the customer to check the contents at a glance.
  • Your warehouse picks and packs orders and needs a contents list per box.
  • An order ships in several boxes and each one needs its own list.
  • The order is a gift and the recipient should see the items but not the receipt.

What a packing slip must include

  • The heading 'Packing Slip'
  • Order number and order date
  • Ship-to name and address
  • Seller name and return address
  • Item name and SKU
  • Quantity ordered and quantity shipped
  • Box number, for example 1 of 2
  • Items back-ordered or shipped separately
  • Return instructions

Packing Slip vs similar documents

  • vs delivery note

A delivery note is signed by the receiver as proof of delivery; a packing slip just lists the box contents and is rarely signed.

  • vs sales receipt

The sales receipt proves payment and shows prices; the packing slip often leaves prices out.

  • vs commercial invoice

On an international parcel the commercial invoice goes on the outside for customs; the packing slip goes inside for the recipient.

Frequently asked questions

Should a packing slip show prices?

It is up to you. Many shops leave prices off so the same slip works for gift orders; the buyer already has the order confirmation or receipt with the prices.

Is a packing slip required for shipping?

Carriers do not usually require one for domestic parcels, but it lets the customer check the order on arrival and makes returns easier to process.

What is the difference between a packing slip and a packing list?

The names are often used for the same thing. In freight and export shipping, 'packing list' usually means a more detailed document with the weight, dimensions and marks of each carton.
