What is a sales receipt?

A sales receipt is the record a seller hands over at the moment of a sale that is paid on the spot, listing the items bought, their prices, any tax and the payment method.

The tool prints it with the heading "Sales Receipt" and behaves as a receipt, marked as paid.

When to use a sales receipt

  • A customer buys and pays at the same time, in a shop, at a market stall or online.
  • You sell products at an event and need a record of each sale for your books.
  • A customer wants proof of purchase for a return, an exchange or a warranty claim.
  • An employee needs a receipt to reclaim a purchase as a business expense.

What a sales receipt must include

  • Business name, address and contact details
  • Receipt number
  • Date and time of the sale
  • Each item with its quantity and price
  • Discounts applied
  • Sales tax, VAT or GST shown separately where it applies
  • Total paid and the payment method
  • Return or exchange policy

Sales Receipt vs similar documents

  • vs tax invoice

A tax invoice is often issued for a sale paid later and carries the buyer's details; a sales receipt is for an immediate sale and usually does not name the buyer.

  • vs payment receipt

A payment receipt confirms a payment against an earlier invoice; a sales receipt is the bill and the proof of payment in one.

  • vs packing slip

A packing slip travels with an order to show what is in the box; the sales receipt proves that it was paid for.

Frequently asked questions

What is the difference between a sales receipt and an invoice?

An invoice asks for a payment that is due later; a sales receipt is issued when the customer has already paid. When a customer pays on the spot, a sales receipt is usually all they need.

Do I need to show sales tax on a sales receipt?

If you charge sales tax, VAT or GST, show it so the customer and your records see the tax collected. A business buyer in a VAT or GST country may also need a full or simplified tax invoice to reclaim it.

How long should a sales receipt be kept?

Customers keep it at least as long as the return period or warranty lasts. Businesses keep their copies for as long as their tax authority's retention rules require.
