How trucking companies bill
Bills a line-haul rate per load or per loaded mile from the rate confirmation, plus fuel surcharge and accessorials such as detention, stop-off and lumper charges.
Trucking companies commonly use "Net 30 from receipt of signed BOL", so payment is due 30 days after the invoice date.
U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Heavy and Tractor-Trailer Truck Drivers $27.62 (employees, not contractor rates).
Trucking invoicing tips
- Send the signed bill of lading and any lumper receipt with the invoice and cite the BOL number on it; brokers and shippers commonly will not start the payment clock without a clean proof of delivery.
- Copy the rate and every accessorial exactly as worded on the rate confirmation, because a detention or stop-off charge that was never on the rate con is the line most likely to be short-paid.
- Log arrival, loaded and departure times for each dock on the invoice, since detention is payable only after the free time in the rate confirmation and the timestamps are your evidence.
- If you factor your receivables, put the factoring company's remit-to address and notice of assignment on the invoice so the broker pays the factor rather than sending the money to you.
Trucking billing disputes to head off
- Short-pays on detention are routine. Times written on the BOL or captured by an ELD or tracking app, referenced on the invoice, turn a disputed two hours into a documented one.
- Overage, shortage or damage noted at delivery can freeze the whole invoice; recording 'delivered clean, no exceptions' with the receiver's signature keeps the line haul payable while any cargo claim runs separately.
Work a trucking can bill for
Core tasks of Heavy and Tractor-Trailer Truck Drivers (O*NET 53-3032.00, O*NET 29.x task statements, CC BY 4.0). Each can become a line on the invoice.
- Check vehicles to ensure that mechanical, safety, and emergency equipment is in good working order.
- Maintain logs of working hours or of vehicle service or repair status, following applicable state and federal regulations.
- Obtain receipts or signatures for delivered goods and collect payment for services when required.
- Maneuver trucks into loading or unloading positions, following signals from loading crew and checking that vehicle and loading equipment are properly positioned.
- Drive trucks with capacities greater than 13 tons, including tractor-trailer combinations, to transport and deliver products, livestock, or other materials.
- Read bills of lading to determine assignment details.
