How nannies bill

Usually works guaranteed weekly hours for one family or a nanny share, billed or paid per week, with overtime, mileage and paid holidays agreed in a work agreement.

Nannies commonly use "Weekly, due on Friday".

U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Childcare Workers $15.41 (employees, not contractor rates).

Nanny invoicing tips

  • In the US a nanny whose hours and duties are set by one family is often treated as that family's household employee rather than a contractor (IRS Publication 926 covers this), so check which applies before sending invoices instead of receiving payroll.
  • Bill the guaranteed hours in the work agreement even when a parent comes home early, and list any extra hours separately so the week reconciles to the contract.
  • In a nanny share, send each family its own invoice showing its agreed split of the shared hours, and bill solo hours for one family's children only to that family.
  • Keep reimbursements such as mileage, admission tickets and groceries off the hourly lines with receipts attached, because families budget wages and expenses differently.

Nanny billing disputes to head off

  • Families who cut a week short for their own vacation sometimes expect to pay less; quoting the guaranteed-hours clause and the agreed paid-time-off terms on the invoice heads that off.
  • Overtime that is mentioned in conversation but never written down tends to go unpaid, so record the date and time of each late return on the weekly invoice.

Work a nanny can bill for

Core tasks of Childcare Workers (O*NET 39-9011.00, O*NET 29.x task statements, CC BY 4.0). Each can become a line on the invoice.

  • Support children's emotional and social development, encouraging understanding of others and positive self-concepts.
  • Care for children in institutional setting, such as group homes, nursery schools, private businesses, or schools for people with disabilities.
  • Sanitize toys and play equipment.
  • Discipline children and recommend or initiate other measures to control behavior, such as caring for own clothing and picking up toys and books.
  • Identify signs of emotional or developmental problems in children and bring them to parents' or guardians' attention.
  • Observe and monitor children's play activities.
