How HVAC technicians bill
Charges a diagnostic fee, then flat-rate repairs or hourly labor, with refrigerant billed by the pound and equipment replacements bid as packages.
HVAC technicians commonly use "Due on receipt", so the invoice is payable the day it is issued. Equipment replacements usually take a deposit at signing; repair calls are paid when the technician finishes.
U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Heating, Air Conditioning, and Refrigeration Mechanics and Installers $28.75 (employees, not contractor rates). The sample's $125.00 per hour for "Electronic leak search" is 4.3 times that employee figure; a business rate also has to cover insurance, tools, travel, unbilled admin time and profit.
HVAC Technician invoicing tips
- Record the refrigerant type and the pounds added; the next technician needs that to spot a leak trend, and customers paying by the pound expect to see the quantity.
- Write the readings you took, such as supply and return temperatures and capacitor values before and after, which turns a short invoice into evidence that the system was actually fixed.
- Put the model and serial numbers of the equipment on the invoice, because manufacturers reject warranty parts claims without them.
- If the customer declines a recommended leak repair, note that on the invoice so a recharge-only visit is not blamed when the system runs low again.
HVAC Technician billing disputes to head off
- Customers who need refrigerant again next summer often feel overcharged the first time. A written note that a leak exists and the repair was declined changes the conversation from blame to a decision.
- Maintenance-plan members expect their discount; show it as its own line so they can see it was applied.
