How DJs bill

Mobile DJs quote an event package by hours of play, then add lighting, ceremony sound, extra hours and travel.

DJs commonly use "Deposit at booking, balance 14 days before the event", so payment is due 14 days after the invoice date. A booking deposit, often a quarter to a half of the package, holds the date and is usually non-refundable.

U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Disc Jockeys, Except Radio $20.59 (employees, not contractor rates).

DJ invoicing tips

  • Show the setup time as well as the playing hours, because a DJ who loads in two hours early to run ceremony sound is working far longer than the dance-floor hours suggest.
  • Print the price of an extra hour on the original invoice; extending the party at a quarter to eleven goes more smoothly when the couple already knows the cost.
  • List uplighting, ceremony microphones and extra speakers as separate equipment lines, so couples comparing packages see exactly which gear they are paying for.
  • If a venue demands a certificate of liability insurance or a sound limiter, note that you complied and bill any certificate fee you charge as its own line.

DJ billing disputes to head off

  • Song request disputes are common after the event; a note that the do-not-play list was received and followed protects your final payment.
  • Couples who extend the night on the spot sometimes forget to pay, so record the extra hour and collect it that night or on a dated final invoice.

Work a DJ can bill for

Core tasks of Disc Jockeys, Except Radio (O*NET 27-2091.00, O*NET 29.x task statements, CC BY 4.0). Each can become a line on the invoice.

  • Accept music requests from event guests.
  • Adhere to schedules to keep events running on time.
  • Advertise services using media such as internet advertising and brochures.
  • Assemble audio and video equipment.
  • Collect payments from customers.
  • Communicate with clients or venue owners to determine event information, such as music preferences, scheduling, and anticipated attendance.

How to make a DJ invoice

  1. Add both parties

Enter Fox Hollow Mobile DJ (your business) and the customer, Avery Lindqvist, then event date.

  2. Number and terms

Give it a unique number such as INV-8077 and set the terms to Deposit at booking, balance 14 days before the event.

  3. List the work

One line per item: the sample runs from "DJ and MC, 5-hour reception" (1 package) to "Travel beyond 40 miles" (50 mile).

  4. Check the total

The 8 lines come to $2,235.00; add sales tax only if your state taxes DJ services.

  5. Download and send

Download the PDF or print it, then keep a copy with the DJ services records.

Frequently asked questions

How do I make a DJ invoice?

Add your mobile DJ business details, the customer, event date, venue, start and end times and planner or coordinator, then one line per item with quantity and rate. How do DJs charge?

Mostly event. Mobile DJs quote an event package by hours of play, then add lighting, ceremony sound, extra hours and travel.

When should a DJ invoice be paid?

Deposit at booking, balance 14 days before the event is the usual arrangement. A booking deposit, often a quarter to a half of the package, holds the date and is usually non-refundable. Put the terms and the due date on the invoice so there is no doubt.

How much do DJs earn per hour?
