How translators bill
Translators charge per source word with a minimum fee, adding certification, layout work and rush surcharges, and sometimes discounting repeated text.
Translators commonly use "Due on receipt", so the invoice is payable the day it is issued.
U.S. Bureau of Labor Statistics, Occupational Employment and Wage Statistics, May 2024: median hourly wage of Interpreters and Translators $28.58 (employees, not contractor rates).
Translator invoicing tips
- Base the charge on the source-word count and print that count, because the translated text can run noticeably longer or shorter than the original depending on the language pair.
- Name every document on the certification line, as offices reviewing an application sometimes reject a bundle when the certificate does not list exactly what was translated.
- Apply a minimum charge to very short jobs such as a single seal or a one-line stamp, since handling, certifying and delivering them takes almost as long as a full page.
- For agency clients, show any discount for repeated or near-identical text as its own line, so they see the full word rate and the reduction separately.
Translator billing disputes to head off
- Clients often count words in the translation rather than the source and arrive at a different total; stating the counting basis on the invoice ends the argument.
- Rush requests sent late at night lead to disputes over turnaround, and recording when files were received and delivered justifies the surcharge.
